- Be on time. You should arrive before the conference call begins.

- Be educated on the subject of conversation. Make an agenda for the call and be sure to allow time for questions. If you’re meeting requires materials, be sure everyone is sent the materials ahead of time. This way, they can read over it and feel prepared for the meeting.

- Speak clearly into the microphone and adjust your speakers accordingly. Also, you don’t want your speaker phone to be too loud, and you definitely don’t want the sound to be too loud.

- Always, direct your questions using proper names. This will help avoid confusion and add a level of professionalism to your calls.

- Since the other members of the meeting can’t see you, be sure to use vocal cues to relate emphasis on certain topics.

- Cut down on background noises. Avoid areas that are loud, shut any open windows, and never eat while talking on a conference call.

- When exchanging important information, always remember to speak slowly and repeat for emphasis. This gives your conference call members a chance to take proper notes.

The Don’ts

- Never put the other parties on hold while teleconferencing.

- Avoid conversing with people next to you during the call.

- Clarify jargon or acronyms that are specific to your business. Some people may not know what they mean.

- Avoid too much movement. That can create noise and will make you hard to hear.

- Don’t interrupt. Let everyone make their point and speak their mind. Always be respectful during the meetings.
